Editing user permissions

Learn how to modify users' permissions to control their access to specific features, functions, and content in Worldfavor.

Updated over 2 years ago

By default, all new users in Worldfavor are created with full permissions, but there may be cases where you want to restrict certain users from accessing or editing certain parts of your account. This can be done by adjusting the user permissions.

This article provides guidance on how to modify access settings for an entire page or solution and more advanced permission settings for individual users.

How to change user permissions

Go to the Users page, which you can find by clicking on your name in the top right corner:

Here, you can view all users with access to your organization account.

Then, to restrict access for a specific user, find the user and click on the three dots to the right.

After that, select "Edit permissions"

A popup will appear with the settings to restrict access for the selected user:

To limit the user's access, click on the lock icon next to the page or solution and select "Deny for user".

This will turn the lock icon red, indicating that the user has been restricted from accessing that page or solution.

How user permissions work

User permissions in Worldfavor work hierarchically, meaning if you restrict access on a higher level, none of the items underneath will be accessible to the user.

  1. Find the user you would like to restrict access for and click on the three buttons to the right.

  2. Choose "Edit Permissions" from the dropdown menu.

  3. A popup will appear with the settings to restrict access for the selected user.

  4. Click on the lock beside the page or solution you would like to restrict access to and select "Deny for User." The lock will turn red to indicate the restriction.

Remove access to a page or solution

To remove access to a page or solution, follow the steps below.

In the example below, we will be restricting access to a whole solution, which will deny the user access to any of the pages below Sustainability Management (Insights, Dashboard, etc.):

Same goes for this example, where we have removed access for Data collection. When this access is denied, the user will not have access to Data collection Overview:

Similarly, in the example below, denying access to the "Data collection" page will also remove the user's access to the "Data collection Overview" page.

You can ignore that locks below remain green.

Note that you can quickly remove access to a whole page or solution by locking it at the highest level and closing the popup.

What are user permissions available?

Beside each item in the permissions pop-up, there are four smaller locks beside the big lock:

In the permissions pop-up, you will see four smaller locks beside the main lock next to each item:

  • Create access: allows the user to create new items on that page

  • Read access: allows the user to view all content on the page

  • Update access: allows the user to edit items on the page

  • Delete access: allows the user to delete items in your account

For example, if you want to allow a user to edit items in your solution but not delete anything, simply lock the delete function on the relevant level.

For example, you might want allow a user to change things in your solution, but not remove anything. In this case, simply lock the delete function on the level where you want this to apply.

Read-only access

To grant read-only access to a user, which means they can only view content on a page but cannot edit it.

You can click on the green lock icons for Create, Update, and Delete and select "Deny for user" for all of them. This is helpful when you want a user to be able to view data in your solution, such as in Dashboard, but not be able to make any changes.

When the permissions settings are set up as shown in the image, the user will have read-only access, meaning they can only view the information on that page but cannot make any changes.
